Where in our documents does it actually say that?
Soter's Ask Data Sources workflow lets you chat against the documents and files in your Data Sources. You ask a question or set a research task, Soter reads each relevant document, extracts the supporting data, and builds the answer from what is in your files, instead of you opening one file after another to find a single line.
What the Ask Data Sources workflow does
Safety teams keep the answer to most questions somewhere in their files: programs, checklists, audit reports, training records, regulatory copies. The problem is rarely that the answer is missing. It is that finding it means knowing which document holds it and reading until you reach the right line. The workflow removes that step. You ask, and Soter reads across the documents in your Data Sources for you.
The Safety Professional stays in control of the question. Soter processes the request, reads each document that matches it, extracts the supporting data, and builds an answer from what it found. You get the answer, the research, or the information you asked for, drawn from your own files rather than a generic source.
Where document lookups break at scale
Three problems show up as soon as the document set grows past a single program.
- The answer is buried. The detail exists, but it sits on page nine of one document out of dozens, so a quick question turns into a long read.
- Nobody remembers which file holds it. Across programs, audits, checklists, and training records, the right source is hard to recall, so the search starts from scratch every time.
- Cross-document questions get skipped. A question that spans several files, what each one says about the same control, is slow to answer by hand, so it often does not get answered at all.
How the workflow runs
- Ask the question. State the question, research task, or the information you need from the files in your Data Sources.
- Soter reads the documents. The agentic system reads through each document that matches your request, not just a single file.
- It extracts the supporting data. Soter pulls the passages and data from those documents that bear on your question.
- You get the answer. Soter builds the answer from the extracted data and shares it in the chat, with the supporting evidence behind it.
